Approval of the Agenda

Dr. Loutzenheiser moved to approve the agenda, and Dr. Bonner seconded the motion. The agenda was approved.

Approval of the October 8, 1998 Minutes

Ms. Wheatley moved to approve the October 8, 1998, minutes, and Dr. Bonner seconded the motion. The minutes were approved as submitted.

Mailing of Student Grades

Dr. Winfree recognized Mr. Jim Rose. Dr. Loutzenheiser posed questions about the current policy of mailing grades. Mr. Rose stated that grades are not mailed to students unless they request that their grades be mailed. Students have two options on finding out their grades. They can call Eagle Line to hear a verbal report of their grades and their status or use the web to generate a report which is the equivalent of a grade mailer. The screen on the web that shows their grades looks exactly like a grade sheet. Mr. Rose explained that students can find out their grades as they are reported, but the students cannot find out their academic status until all grades have been posted. Letters of probation and suspension are mailed to the permanent address which the student has supplied to the University. Mr. Rose explained to the committee that some schools have stopped mailing grades because the students are now able to view and print their grades from the web. Currently, about 40 percent of the students are requesting grades to be mailed. Dr. Winfree called for the question to approve the verbal report presented by Mr. Rose. Dr. Loutzenheiser moved to approve, and Dr. Bonner seconded the motion. The motion was approved.

Report on Labeling Early Report Cards With Less Than a 2.0 Before the Retention Table Applies "Unsatisfactory Academics"

Dr. Winfree recognized Professor Tolbert. Professor Tolbert explained that students could be enrolled for as long as three semesters with a grade point average of less than 2.0 and without receiving a negative academic action. They do not receive a warning because of the current retention table. Discussion has been held to place "Unsatisfactory Academics" at the end of students' grades. There would be no change in the retention table. The new action would be available by Eagle Line, the web, and on the mailed grade report. Professor Tolbert asked the committee if an "unsatisfactory academics" letter should be mailed to students like the probation letters that are currently being mailed. Professor Tolbert felt "unsatisfactory academics" letters should especially be mailed to those students who are attending the University for the first time including transfer students. Discussion was held. Ms. Wheatley moved to approve placing "unsatisfactory academics" at the end of grades for students to hear on Eagle Line or to see on the web or grade mailer and to approve sending out letters to first-time students who earn less than a 2.0 but who meet the retention table. Dr. Loutzenheiser seconded the motion. The motion was approved.

Report From Ad Hoc Committee on CLEP Cut-Off Scores

Dr. Winfree reported that the ad hoc committee had met several times to discuss CLEP scores and Tech's status relative to the national norms. There is some action nationally to realign, restudy, reevaluate the standard norms in comparison to CLEP scores. The decision was made to take no action until the national study is done. The ad hoc committee proposed the statement below to be submitted in the catalog to explain how the University currently evaluates and accepts advanced placement credit from another institution.

Advanced placement credit awarded by an institution that has requirements different from those at TTU will be accepted if the student has completed the next successive course in the sequence with at least a grade of C.

Dr. Loutzenheiser moved to approve, and Professor Hunter seconded the motion. Discussion was held by the committee. The motion was approved. The statement will be placed in the next issue of the undergraduate catalog.

Election of Chairperson

Mr. Marable nominated Ms. Delores Wheatley to serve as chairperson for the 1999-2000 academic year. Professor Stearman moved that nominations cease, and Ms. Young seconded the motion. Ms. Wheatley was elected unanimously.

Such Other Matters

Dr. Winfree recognized Ms. Wheatley as the newly elected chair. Ms. Wheatley asked if there were any such other matters. Professor Tolbert asked the committee for suggestions of persons to recommend to replace members whose terms will expire this spring. Professor Stearman moved to adjourn the meeting, and Dr. Winfree seconded the motion. The meeting was adjourned.
