TTUMIS Tools
Many faculty members are discovering the benefits of e-mail communication
with their students. To make the process of sending mail to a class easier,
instructors with access to TTUMIS may now generate e-mail distribution lists
automatically. Here's the procedure:
- Log into your TTUMIS account
- At the main menu, type: SIS

At the SIS {S01} menu, type: REPORTS

At the SIS Standard Reports Menu {S06}, type: RPTCLASSDIS

You will be prompted for the course name, number and section number.
These should be entered in the format XXXXyyyyZZZ, for example:
CSC 110 001
UNIV105 006
ME 361 002
ENG 201H001
The spacing is critical; if the information is not in the correct columns,
the distribution list will not be generated.
- Enter a filename for your
distribution list that is up to 8 characters long, for example,
csc11001 or rhetoric (the extension .dis will
be added automatically).

When you see "Press <RETURN> with no entry to take the
default," press [ENTER].

At the Submit menu, type: SUBMIT
This will submit a Focus procedure that will be executed within 24 hours
to generate the new distribution list. You can see if the distribution list
has been created by going to the UTIL menu and choosing DIR to get a directory
listing of your files. The distribution list will have the name you gave it
followed by the extension .dis (for example, csc11001.dis
or rhetoric.dis).
If you want to use the distribution list from Gemini,
follow these steps to get it into your Gemini account:
- Log into your TTUMIS account
- At the main menu, type: MAIL
- At the MAIL> prompt, type: send/noedit
FILENAME.dis (where FILENAME is whatever filename you gave it).

At the To: prompt, type your Gemini username preceded by TTU:: (e.g. ttu::abc1234)
- At the Subj: prompt, type: FILENAME.dis
- Exit mail and log out of TTUMIS
- Log into your Gemini account
- At the $ prompt, type: mail
- When you've read the message containing the
distribution list, type: extract/noheader FILENAME.dis (e.g. extract/noheader
csc11001.dis).

Other Useful Reports
A number of other useful reports and lists are also available
from the SIS Reports menu, including:

Automatic Mail distribution list generation of current majors;

Automatic Mail distribution list generation of advisees;
-
Lotus format file for a class section that can be downloaded
for a class roll in a spreadsheet;

List of current majors in a term by name, or by student ID number,
or by class level;
-
List of advisees in a term;
-
List of new students for a term with admission type;
-
List of students in a specific college for a term on dean's list;
-
List of students in a specific major who are on probation,
suspension or dismissal or all three;
-
List of majors including GPA;
-
List of students who have dropped a requested course and
not added an alternate section.
A brief description of each report may be obtained by typing
LIST at the SIS Standard Reports menu.
Reminder
Please remember that all student information obtained from TTUMIS
must be treated as University Confidential. The use of such
information for any purpose other than University business is
illegal by state and federal statutes.
