Importing Addresses into a New Outlook Contacts Folder


Open Outlook
  1. Click on  Contacts in the Outlook menu bar on the left.
     
  2. From the drop down menu under the New icon,
    select Folder
    Or from the menu,
    select File > New > Folder.

 

 

 

 

  1. Type a name for your folder and be sure it is located under your Contacts folder.
  2. Click OK.

 

 

  1. From the menu, select
    File > Import and Export..

 

  1. In the Import and Export Wizard, select
    Import from another program or file
    .
  2. Click Next.

 

 

  1. If this is data from an SIS FOCUS report, select
    Comma Separated Values (Windows)
  2. Click Next.

 

 

  1. Browse to locate the file with the information.
  2. Decide how to handle duplicates.  If the file to be imported has more recent data, select Replace duplicates with items imported.
  3. Click Next.

 

 

  1. Select your destination folder (Special Group in this example) which should be under your Contacts folder.
  2. Click Next.

 

  1. Click on the Map Custom Fields... button.

 

 

  1. Click on the plus sign (+) in front of Name in the left pane to expand the contents.
  2. Select a field name or Value in the left pane (such as LastName) and drag it to the matching name in the right pane (Last Name).
  3. Click OK when finished mapping all needed fields in the left pane to those in the right pane.

Tip:  You can use the Next button below the left pane to move through a few records to be sure you have things mapped as desired.
  1. Click Finish.
 

 

  1. To use your new list, create a new message and click on the To: button
     
  2. In the Select Names window, select your new folder name (Special Group in this example) from the drop down list.
     
  3. Add names as desired to the  To, Cc, or Bcc boxes.
  4. Click OK.
  5. Type a message and send.
